Privacy policy
Last updated: 22 October 2026
This policy explains what personal information we collect when you use this website, why we collect it, and what your rights are. We keep it short, and we only collect what we need to reply to you.
Who we are
This website is run by Richard Gaskin, a sole trader trading as OnlineGroundWork, based in the United Kingdom. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), Richard Gaskin is the data controller for the personal information described here.
If you have any questions about this policy or your information, please contact us using the enquiry form. Mention "privacy" in your message so it reaches the right place quickly.
What we collect
When you send an enquiry through our form, we collect:
- your name and business name
- your phone number and, if you give it, your email address
- your trade or type of business
- the services you're interested in, and any package you selected
- anything you write in the message box
Like almost every website, our hosting provider also records basic technical information when you visit, such as your IP address, browser type and the pages you requested. This is used to keep the site running and secure.
We don't ask for sensitive information, and we'd ask you not to include any in your message.
How we use it
We use the details you send us to:
- reply to your enquiry and arrange your free online check-up
- look at how your business currently appears online, so the call is useful to you
- send you a quote, and provide our services if you decide to go ahead
We won't add you to a mailing list or send you marketing, and we will never sell your information.
Our lawful basis
We process your enquiry because you asked us to. In legal terms, this is to take steps at your request before entering into a contract, and for our legitimate interest in responding to people who contact us. If you become a customer, we'll process your information to deliver the contract and to meet our legal obligations, such as keeping tax records.
Who we share it with
We only share your information with the services that help us run this website and reply to you:
- Web3Forms receives your form submission and forwards it to our inbox.
- Our email provider stores the enquiry once it arrives with us.
- Vercel hosts this website and keeps short-term technical logs.
- Google Fonts supplies the fonts on this site, so your browser connects to Google, which can see your IP address.
Some of these providers may process information outside the UK. Where they do, they rely on safeguards recognised under UK law, such as adequacy regulations or standard contractual clauses.
We may also share information if the law requires us to.
How long we keep it
If your enquiry doesn't lead to any work, we delete it within 12 months. If you become a customer, we keep your records for six years after our work together ends, because HMRC requires businesses to keep financial records for that long.
Cookies
This website doesn't set any cookies and doesn't use analytics or advertising trackers.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct anything that's wrong
- ask us to delete your information
- object to, or ask us to restrict, how we use it
- ask us to transfer your information to someone else
To use any of these rights, contact us through the enquiry form. We'll respond within one month.
Complaints
If you're unhappy with how we've handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.
Changes to this policy
We'll update this page if anything changes, and the date at the top will show when it was last revised.
